The member has a rank you already use, a pack or a membership, and a portal login. Youth classes bill a parent. Adult classes bill the person who trains. The rank ladder is part of the record so the desk stops guessing from a whiteboard. It does not, by itself, block a booking. A rule such as “no sparring before this rank” stays with the coach. Who pays. A youth member usually has a parent on the portal. An adult who trains and pays for themselves is a self-payer with their own sign-in. The offer. Intro courses and personal-session bundles fit a class pack: a count of lessons with a validity. People who train several times a week fit a monthly membership, or a classes-per-week membership when “twice a week” is the real promise. The mechanics are in class packs and memberships. Pick one story for a term. Changing the offer every week is how balances drift.
Attendance. Mark the session. That is how a pack decrements and how a member can see that the class happened without a chat message during sparring.

Ranks
Add the ladder you already use, in order: white, yellow, and whatever comes next in your school. Ranks describe where someone is. They do not, by themselves, block a booking. If the real rule is “no sparring before this rank,” that rule stays with the coach. The ladder is there so staff stop guessing from the whiteboard.
A rank is not a preschool report card. If you write a note, write what you saw in that session and what you will practise next. Leave meals, naps, and learning stories for a care day.
Waiver, injury, and the first booking
A combat sport needs the waiver signed before the first booking. Put assumption of risk, equipment, and sparring consent in the organisation waiver. Classroom keeps one waiver text and expects that signature before the first tuition booking.
An injury or a doctor’s restriction can sit as a private note a coach must see. That note is not a preschool health log. Vaccination records and daycare medical forms are a preschool feature. Do not copy them onto a boxing membership and hope they cover the ring.
